CANFIELD HIGH SCHOOL

SOCCER BOOSTER CHARITABLE ORGANIZATION

CONSTITUTION

 

ARTICLE I – NAME

           

This organization shall be known as the CANFIELD HIGH SCHOOL SOCCER BOOSTER CHARITABLE ORGANIZATION.

 

ARTICLE II – PURPOSE

 

Section I:          The purpose of this charitable organization is the promotion of the moral, mental and physical advancement of the High School boys and girls soccer players.

 

Section II:       The charitable organization will support these players with encouragement on the field and supplement the financial support off the field.

 

Section III:       We shall strive for close co-operation with the Canfield Board of Education and the various school soccer officials in the development of high school soccer.

 

ARTICLE III – RULES

           

            This charitable organization subscribes to the rules and regulations of the Ohio High School Athletic Association.

 

ARTICLE IV – MEMBERSHIP

 

Section I:         Any parent or legal guardian of a Canfield High School soccer player who subscribes to the purpose of our charitable organization as set forth in Article II shall be eligible for membership. Any parent and/or legal guardians of graduated player or alumnus who subscribes to the purpose of our charitable organization as set forth in Article II shall be eligible for membership. The member must be a contributing patron in response to the annual fee assessment as established by the governing board.

 

Section II:        Only those holding membership for a period of one year shall be eligible for office and must have attended at least 4 meetings from June of one year to May of the next year.

 

ARTICLE V - OFFICERS

 

Section I:         The governing board shall consist of the following four officers: President, Vice President, Treasurer, Secretary; and a representative from each of the following teams; Girls JV, Girls Varsity, Boys JV and Boys Varsity for a total of 8 members.   Two officers shall be from the girl’s team and two officers shall be from the boy’s team.

 

 

 

 

 

Section II:        The election of the four officers shall be held at the first regular meeting in May of each year. The president shall receive any nominations from the floor at the first regular meeting in April.   The nominating committee shall then present a slat of officers.   Officers so elected shall begin their term of office at the first meeting in June.   The nominating committee shall consist of the President, team representatives and three other members from the general membership appointed by the President.

 

Section III:       Team representatives shall be appointed by the President by September 1st of each year.

 

Section IV:      At no time shall proxies be counted as votes at any meeting of this charitable organization.

 

Section V:        President

 

  1. Shall not hold office for more than two consecutive years unless elected by unanimous vote.
  2. Shall preside at all regular, special and board meetings.
  3. Shall appoint all committee chairpersons.
  4. Shall be responsible for establishing the business agenda for all meetings.
  5. Shall call general meetings of the charitable organization as provided in Section I By-Laws.
  6. Shall perform all other duties incident to office.
  7. May perform the duties of the treasurer only with the governing board approval when it has been determined (by the governing board) that the treasurer is incapable of performing said  duties.
  8. Shall be official liaison between the Canfield H.S. Soccer Booster Charitable organization, the Athletic Department and the Board of Education.

 

            Section VI:       Vice President

 

1.       Shall perform all duties of the President in his absence or disability.

2.       Shall assist the President as required in the formation of the business agenda.

3.       In the absence of the President, the Vice President shall preside at all business meetings.

4.       The Vice President Shall be the coordinator for all fund raising activities and ideas.

5.       Shall coordinate the annual general review of the books.

 

Section VII:    Secretary

 

1.       Shall keep a record of all proceedings of all membership meetings and the governing board.

2.       Shall keep a full and correct list of all members with their addresses and telephone numbers.

3.       Shall Read the minutes at the next ensuing regular meeting.

4.       Shall conduct all correspondence on behalf of the charitable organization.

 

Section VIII:    Treasurer

 

1.       Shall be bonded.

2.       Shall keep a record of all monies received and expended, and shall pay bills approved by a majority vote at a regular or special meeting , provided bona fide store receipts are produced.

3.       Shall deposit the charitable organization funds in depositories designated by the governing board.

4.       Shall make a financial report of the charitable organization at all meetings.

5.       A general review of the books shall be made once a year in May by the governing board.

 

Section IX:       Team Representatives

 

1.       Shall be responsible for communication between the governing board and all members of  their respective teams.   

2.       Shall assist the individual chairpersons as needed to coordinate efforts with their respective teams.     

 

ARTICLE VI – ADVISORY BOARD

 

            The immediate past President, the Head Coaches of the girls and boys soccer teams, and a representative from the Canfield Soccer Charitable organization will be invited to sit as an Advisory Board to the Canfield High School Soccer Booster Charitable organization, but will have no vote at meetings.

 

 

ARTICLE VII – AMENDMENTS

 

            The Constitution and By-Laws may be amended by introducing the proposed amendment in writing at any regular meeting, followed by a discussion of the amendment and a vote thereon shall be taken at the next regular meeting thereafter.   A majority of the general membership shall be required to adopt any amendment.   Amendments so adopted shall be effective at the following meeting after adoption and thereafter.

 

ARTICLE VIII – VACANCIES

 

            In the event of any vacancy occurring in any office, such vacancy shall be filled by the      governing board.

 

ARTICLE IX – QUORUM

 

            A quorum for purposes of conducting a meeting and attending to business of the organization shall be majority of the governing board.

 

ARTICLE X – STANDING COMMITTEES

 

            Section I:          Spirit Chairpersons (boys/girls): shall be responsible for activities that Promote  team morale and cohesiveness.

 

            Section II:         Concessions Chairpersons (girls/boys):  shall be responsible for the  management of the Concession stand at all home games played in the stadium.

 

            Section III:       Senior Night Chairpersons (girls/boys): shall be responsible for coordinating all  activities associated with senior recognition night.

 

            Section IV:       Team Dinner Chairpersons (girls/boys): shall be responsible for obtaining  volunteers to host and provide team dinners to respective teams.

 

            Section V:         Banquet Chairperson: shall be responsible for organizing a combined team  recognition dinner to be held annually at the end of the soccer season.

 

            Section VI:       Finance Committee: shall be responsible for an annual budget including the annual fee assessment and shall be comprised of the governing board. An                                       annual budget shall be presented to and approved by the general membership at  the February general meeting.

 

            Section VII:      Publicity Chairpersons (boys/girls): shall be responsible for various bulletins  and any other news items to the local newspapers as designated by the                                                                  President.

 

BY LAWS

 

1.           Regular meetings shall be held the second Thursday of each month.

        Special meetings can be called by the President provided all of the members are notified.

 

2.           The order of business at all meetings shall be as follows:

 

                         a. Minutes of previous meeting           d. Old business

                         b. Treasurer’s report                             e. New business

                         c. Report of Committees                     f. Adjournment

 

ARTICLE XI – DISSOLUTION OF ORGANIZATION

 

                     Should the Canfield High School Soccer Booster Charitable Organization be dissolved, all remaining assets will be donated to the Canfield High School Athletic Department, for the support of Canfield High School’s soccer program.

 

ARTICLE XII – HARDSHIP

 

                     If any player’s family cannot pay the annual fee assessment, which has been establish by the governing board, or any other major expenses related to the soccer teams, provision may be made by the soccer booster organization. It will be up to the discretion of the governing board to vote upon any hardship cases as to whether or not the organization will pay them or waive them.
